Answers to common questions about TodoPin, the browser extension that creates Trello cards from Gmail emails. If yours is not here, write to support@todopin.app.

How do I connect Trello?

  1. Open TodoPin's settings: click the TodoPin icon in the browser toolbar and choose Settings. The settings page also opens when you install the extension.
  2. In the Account section, choose Connect Trello.
  3. Sign in in the Trello window that opens. TodoPin never sees your password.

When it works, the page says Connected to Trello as and your name.

If the window closes or does not load, you may not be signed in to Trello in this browser. Sign in to Trello first, then try again.

If Trello stops accepting the connection, TodoPin shows Trello disconnected with a Reconnect button.

Settings sync between browsers signed in to the same browser profile. The Trello connection does not: connect Trello in each browser.

How do I choose the default board and list?

In Settings, open Defaults, and choose a Default board and a Default list. Connect Trello first: the lists come from your Trello account. If you have just added a board in Trello, choose Refresh boards and lists.

The default board and list are where the TodoPin button creates cards. Under When you click the TodoPin button, choose Create the card immediately or Always open the dialog. Without a default list, the TodoPin button opens the dialog. The TodoPin button attaches no files unless you turn on Attach files on quick click.

For a single card in another board or list, open the card form: click the TodoPin icon in the browser toolbar and choose Create card from this email, or press Alt+Shift+T. The form has its own Board and List pickers. In a conversation with several messages, Create from lets you pick the message the card is made from.

Why does a card have no email text, and how do I add it?

There are two reasons.

The card was created from the inbox list. TodoPin reads only what the row shows (the subject, the people and the date), so cards made this way have no email text. Their description holds the people, the date and a link back to the email.

To add the text, open the email. The notice under the subject offers Add email text. In the dialog, choose Add text; you can also choose which attachments to upload. If the card was edited in Trello in the meantime, the text is added as a comment instead. A message says where the text went, with Undo.

Your settings leave the text out. In Settings, open Description. Under Text of the email the choices are The last message of the conversation, The whole conversation and No text, only the details of the email. Characters of text to keep sets the limit: Trello allows at most 16,000 characters in a card description, and longer text is cut at the limit and marked as shortened.

How does Undo work?

After a card is created, a message appears at the bottom left of Gmail: Card created in the board and list, with Open card and Undo. Undo archives the card in Trello; it does not delete it. The message then reads Card archived.

Undo is offered only while the message is on screen: 8 seconds by default, and the timer pauses while you point at the message. In Settings, Seconds a message stays on screen changes this, from 3 to 30. When the message has gone, TodoPin cannot undo; change the card in Trello instead.

Undo works on the other actions too:

  • Add as comment is undone by removing the comment.
  • Add email text is undone by putting the previous description back, but only if the card was not changed in Trello since. If it was, nothing is changed and the message says so. Files already attached to the card stay.
  • Cards created together from the inbox list share one message, and Undo archives all of them.

If a card cannot be archived, the message says Could not undo — archive the card in Trello.

How do I create cards from the inbox list?

You do not need to open the emails.

  • One email: use the Create Trello card button among the buttons that appear when you point at the row. The button appears on rows that have no card, and only while Trello is connected.
  • Several emails: tick them, then click TodoPin's button in the toolbar above the list.

A popup shows the emails and the Board and List where the cards will go (your defaults are chosen). Emails that already have a card are listed under Skipped: already has a card, with Open card. Choose Create card (with several emails, Create and the number of cards, such as Create 3 cards) and the cards are made, up to 50 at once; if you chose more, the first 50 are created.

For one email, the popup is shown by default. To skip it, switch off Ask before creating a card from the inbox list (single emails) in Settings, under Defaults. One email then gets its card at once, in the default list. Several emails always ask first.

Each card has the subject as its title. The description holds the people shown in the row, the date and a link to the email, but not the email text: see the question about email text.

One message shows the progress and the result, with Undo for the whole batch and Details, which lists any cards that could not be created.

What is the label on an email?

In the inbox list, an email that has a card carries a label with the board and the list, written Board / List, in the colour of the board. Long names are shortened to fit; the full board and list names are in the tooltip of the row's TodoPin button, followed by Click to open card. A card that was archived in Trello gets a grey label that starts with Archived:.

The label itself cannot be clicked. To open the card, click the TodoPin button on the row (among the buttons that appear when you point at the row, or next to the star when Gmail's hover actions are turned off). On an email that has a card, that button opens the card instead of creating one.

Open the email and a notice under the subject reads Card: the card's name in the board and list, with Open card. The TodoPin button then opens the card instead of creating a second one.

If you move or archive the card in Trello, the label and the notice catch up the next time you open the email. TodoPin asks Trello about the card then, normally at most once every 10 minutes for each email.

TodoPin knows only about cards it created, and keeps that record in this browser, not in your other browsers. If an email shows no card, click the TodoPin icon in the browser toolbar and choose Find existing card, or use Already made a card for this email? Find it in the card form: TodoPin looks for a card it created for this email in your default board and your recently used boards.

Which keyboard shortcuts are there?

The Page shortcut field takes keys joined with +, for example alt+t or ctrl+shift+k, and up to three keys in a row separated by spaces, for example g t. It warns you when Gmail already uses the shortcut.

In the card form, Ctrl+Enter (Cmd+Enter on a Mac) creates the card and Esc closes the form.

How do I disconnect Trello or remove TodoPin and its data?

Disconnect Trello. In Settings, open Account and choose Disconnect, then Yes, disconnect. This deletes the Trello connection from the browser. Your settings and the links between emails and cards stay on this device. TodoPin still appears in your Atlassian account as a connected app until you remove it there: open your Atlassian account settings, go to connected apps, and remove TodoPin.

Delete everything but keep the extension. In Settings, open Advanced and choose Reset extension. This deletes your Trello connection, all settings including the default board and list, the links between emails and their cards, and the cached boards and lists, and starts the setup again. Settings sync between browsers, so they are reset in your other browsers too.

Remove the extension. Remove TodoPin on your browser's extensions page. This deletes everything it kept in your browser: the Trello connection, your settings, and the links between emails and cards. Remove TodoPin in your Atlassian account too, as above.

In every case, the cards already created stay in Trello. The privacy policy lists what TodoPin stores.
